How to write a mail to the HR of a company!
1. Research the company (Website and LinkedIn page)
2. Research the recipient (Check the LinkedIn profile of HR)
3. Choose an effective subject line (Application for XYZ role at ABC company)
4. Draft an outline for your email( professional greeting, a few sentences to introduce yourself, write one paragraph for each — your qualifications, experience, projects and certifications, then a closing statement to thank them, professional sign-off, your contact details and name)
5. Attach a copy of your CV
6. Review your email before sending
Example:
Subject: Application for XYZ role at ABC company
Hello Sir/ma’am,
There’s an opening for ABC role at your organization XYZ(write this line only when you know that there’s an opening)
I am ABC(your full name), Pursuing/graduated(branch) from XYZ(college name). My area of interest is Software development/data science/networking(in which field you’re interested in working). Skilled in (mention your skillsets).
I have worked as a ABC(your full-time role or intern role — if you’re fresher) at XYZ(company name) for 1/2 year or 3/6 months, where I am/was responsible for…(mention what you’ve done or doing that helped the organization to make decisions, mention tools/techniques you used.)
I have done a project on XYZ(topic name), in which I worked on…(tools name — Python, MATLAB, etc.) tools. ( mention how this can be important to solve a real-time problem)
I am also ABC Certified. (Cloud, Data Analyst, etc.)
I thank you for your time and consideration and I look forward to being a part of your company. I would welcome an opportunity to discuss my qualifications with you at your earliest convenience.
